How Do I Set Up My Agency To Book With Trafalgar

We will have you set up to book with us via our call center (800 854 0103) within 24 hours and online once you register as an agent on trafalgartours.com. If you already have a username and password for our travel agent website you can use this to login to the travel agent website and access the booking engine.

Trafalgar iTropics General Questions

1. What is Trafalgar iTropics?
Trafalgar iTropics is a web-based tool that allows travel agents the opportunity to view real-time pricing and departure date information. You no longer need to call into Trafalgar Tours to book your client's vacation.

2. Why should I register for Trafalgar iTropics?
It will save you time. You no longer need to call into Trafalgar Tours for up-to-date Preferred Departures and land prices for your clients.

3. How do I sign up to begin using Trafalgar iTropics?
If you do not already have a user account, click here to sign up. Please call us at 1-800-226-5547 if you have any additional questions.

4. If I don't want to book a tour online, is this tool still useful to me?
YES! Trafalgar iTropics provides you with real-time Preferred Departure dates along with live land pricing. If you prefer, call our reservations center on 1-800-854-0103 and one of our representatives will be happy to make the booking for you.

5. Can I use my old BookTT login to book online?
No. You will need to register your details on Trafalgar's Travel Agent Website to use Trafalgar iTropics. If you already have a login for Trafalgar's Travel Agent Website you will be able to use this to log in to Trafalgar iTropics. Register for Trafalgar's Travel Agent Website

6. Do I need a different login to book online and to access Trafalgar's Travel Agent website?
No. With our new system you only need the one login to book online and access Trafalgar's Travel Agent website.

7. What if I have forgotten my password for the Trafalgar Travel Agent website?
Click here to access our password reminder and we will email your password to you.

8. I have registered as a new agent, how long will it take before I can use Trafalgar iTropics and the Travel Agent website?
Your web registration will activate immediately. You will receive an email confirmation of your approval and then you will be able to access Trafalgar iTropics and Trafalgar's Travel Agent website. If you need any assistance please call our Sales Support department during business hours on 1-800-626-6604.

9. I have registered as a new agent but have not received an email confirmation of my approval. What can I do?
The account activation is instant and the system generates an email to you. Please double check you inbox or your spam mail folder to see if you have the email from Trafalgar.

10. Do I get the same commission for booking online?
Yes. You would get the same commission for booking online and over the phone. Unless Trafalgar are running an online booking incentive during the time you booked your tour online and have qualified for the incentive.

11. Do I get paid commission on air, insurance and on pre/post nights hotel?
Yes! Yes! Yes! Trafalgar is one of the few tour operators that pay you 10% commission on air with a Land booking and the same on travel insurance and pre/post night hotels.

12. Do I have to pay a Currency Surcharge because of the weak US dollar?
No. We currently do not charge a currency surcharge for booking any of our Land tours.

Questions on Booking a Tour with Trafalgar

1. Why can’t I book air for my tour?
Trafalgar iTropics is unable to book air online at this time. However, please book the land tour and call 1-800-226-5547 to add air to your booking. Please have your booking confirmation number ready when you call.  We anticipate that the air will be available early next year. Please check back on this site under “ Latest Enhancements” for updates. 

2. Do I have the ability to deviate departure and return dates on air?
Yes. You are able to deviate your air. Trafalgar iTropics is unable to book air online at this time. However, please book the Land tour and call 1-800-226-5547 to add air to your booking. Please have your booking confirmation number ready when you call.

Note: Flights can be requested in the special requests field during the online booking process and we will book the flight and get back to you. Please indicate departure & return city in the US, as well as any additional details.

3. Will I be able to see my air schedule online once air is added to the booking?
Yes. You can review your booking details under the “View My Bookings” tab in the main login page.  Or on the confirmation email. 

4. Can I make multiple payments online?
Yes. We require a $200 deposit plus the cost of the Travel Protection Plan per person within 7 days. Payment can be applied with your clients’ credit card or agency check. To make additional payments online, review your booking details under the “View My Bookings” tab in the main login page and retrieve your booking to apply additional payments.

Note: Agents will be able to make payments via any method for which they have an agreement with us to pay by. Which would include Credit agreement, MCO/WRA, money direct etc as well as Agency Check and Client Credit Card.

5. Can I request a client copy of the invoice for my clients online?
No. Please call 1-800-854-0103 to request a client copy of your invoice. Please have your booking confirmation number ready when you call.

6. Can I book Trafalgar discounts online for my clients?
Yes, you are able to book the Frequent Traveler Discount, Early Payment Discount, Young Traveler Discount and Friendly Five discount online.  However, please book the Land tour and call 1-800-226-5547 to add any additional discount or member benefit discounts to your booking. Please have your booking confirmation number ready when you call OR place it into the email comments box and we will modify the booking once we receive it via our QA approval system.

7. Can home-based agents use this tool?
Yes. You are considered a Consultant for your host agency. Note: all bookings must be booked under the Host Agency IATA number and you are listed as a consultant for the agency.

8. How long does it take to get my clients’ travel documents?
Trafalgar sends travel documents 3-4 weeks prior to the tour departure date. Our customers receive a complimentary travel wallet with their documents. You can view your documents status by selecting the Agency Weekly Report from the main login page.

How to Administer Your Account with Trafalgar

1. Can I track all of my Trafalgar bookings in your system?
Yes. After you login, simply click the 'View My Bookings' tab on the main login page. This page lists all of your current bookings and gives you the opportunity to view detailed information about each of them. As an agent, you can view your own bookings. As an account administrator, you can view the bookings for the entire agency.

2. My agency is booking with Trafalgar for the first time, what should I do?
If this is the first time that you are doing business with us, please click here and register as a New Agency. If you need help, please call our Sales Support department during business hours on 1-800-626-6604. Once we have you set up to book in our system. You will be able to register online with our website and book online.

3. Do I have the ability to deactivate my account if I have change agencies?
If you no longer work for the agency listed you can deactivate your account under the My Profile tab on the main login page and you can add your new agency details: Note: Bookings made with previous agency cannot be transferred to another agency.

4. Can I view other agents’ bookings from my Agency?
No. Unless you are set up as a manager for your agency, you can not access other agents’ bookings.



Travel Insurance & Visas

Trafalgar strongly recommends that all clients have an insurance policy to ensure their peace of mind before and while traveling. It's important that they protect themselves in case of trip cancellation/interruption for any reason, travel/baggage delay or loss of baggage and medical expenses. You can purchase travel insurance through Trafalgar for your client. Trafalgar's Travel Protection plan, is designed exclusively for your client to ensure their protection in the event that an unforeseen incident occurs, or their travel plans need to change, for any reason. Your clients are responsible for obtaining all necessary visas prior to the departure of their tour. Depending on their nationality, they may need visas to enter certain countries included on their tour. Please note that obtaining visas can take up to six weeks prior to their departure. It is strongly advised that they consult the local Consulate or Embassy of the country they are visiting, well in advance to determine which visas they require and how to obtain them. They can also visit ZVS Visa Service to apply for their VISA at a special Trafalgar Rate. Find out more
